Neferos provides an agentic AI receptionist that automatically answers calls, books appointments, qualifies and captures leads, and sends follow-up messages for businesses around the clock. This Privacy Policy explains what information we collect, how we use it, and the choices you have. "Neferos," "we," "us," and "our" refer to Neferos and its operating entity. "You" refers to the business that uses Neferos, and "callers" refers to the people who contact your business through Neferos.
Account information: your name, email address, business name, industry, phone number, and other details you provide when registering or onboarding your business.
Business data: the content you or your AI receptionist create while using Neferos, including greeting scripts, business hours, agent settings, appointment details, and lead and call records.
Caller data: phone numbers, call transcripts, call recordings (when recording is enabled), voicemails, SMS messages, and any information callers share during a call — such as their name, contact details, and the reason for their call.
Usage and billing data: plan selection, subscription status, call and SMS usage counts, and billing information processed through our payment processor, Stripe.
To operate the Neferos agentic AI receptionist — answering calls, booking appointments, qualifying leads, sending follow-up SMS and emails, and synchronizing appointments to your connected Google Calendar.
To provision and route your business phone numbers and SMS through our telecommunications provider, Twilio.
To process subscription payments and provide billing support through Stripe.
To secure your account, monitor usage against plan limits, prevent fraud and abuse, and generate aggregated, anonymized analytics.
To provide customer support, send service and account notifications, and communicate important updates about Neferos.
Service providers: we share data only as needed with the third parties that power core features — Twilio (calls and SMS), Stripe (payments), Google (calendar sync), and our AI and speech providers (for transcription, voice, and conversational AI). These providers process data under their own terms to deliver the service you requested.
Business legal obligations: we may disclose information to comply with applicable law, legal process, or government requests, and to protect the rights, property, or safety of Neferos, our users, or others.
We never sell your information or your callers' information to third parties.
When you enable call recording, Neferos records inbound and outbound calls and stores the recording and a full transcript. Recording is off by default and is controlled by you for your business.
Where required by law (for example, two-party consent states), you are responsible for ensuring that callers are informed that a call may be recorded. Neferos inserts a recording-disclosure line into the AI greeting whenever recording is enabled.
You may delete call recordings and transcripts from your dashboard at any time. In HIPAA mode, transcripts and recordings are automatically redacted and not stored.
We retain your business data, call logs, transcripts, and lead records for as long as your account is active, or as needed to provide the service and comply with legal obligations. Upon account cancellation, we will delete or de-identify your data within 90 days, except where retention is required by law.
We use industry-standard safeguards to protect your information, including encryption in transit (TLS) and at rest, strict access controls, and tenant isolation so one business can never access another's data.
For customers operating in regulated environments, Neferos offers a HIPAA-compliant mode that redacts protected health information from stored transcripts and recordings and limits the data persisted by the AI agent.
You may access, correct, export, or delete your business data from within the Neferos dashboard at any time. You may also request deletion of your account and associated data by contacting us.
Depending on your location (for example, residents of California, the EU, or the UK), you may have additional rights such as the right to know what personal information we collect, the right to opt out of the sale or sharing of personal information, and the right to non-discrimination for exercising these rights.
By provisioning phone numbers and sending campaigns through Neferos, you confirm that you have obtained prior express written consent from each recipient, and that none of the numbers appear on any applicable Do-Not-Call list. Neferos will not send SMS to a contact who has not opted in when SMS consent is required.
Neferos is based in the United States. If you access Neferos from outside the US, your information may be transferred to and processed in the US, and by using Neferos you consent to that transfer.
Neferos is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and, where appropriate, notifying you through the app or by email. Continued use of Neferos after changes take effect constitutes acceptance of the updated policy.
